# Ovrendi user handbook

## Create your first quotation

### Before you begin

Who this is for: Owners, admins and managers with Quoting access.

A supported Han’s workbook under 2 MB, your shop’s rates and customer details.

### 1. Save the company and user profiles

Open Quoting → Company & user profiles. Save the company name and address, then your name and title. Only owners and admins can edit the shared company profile. These details are captured when you save a quote revision.

### 2. Import and review the report

Choose your Han’s quotation workbook. The Import → Review report → Price → Preview → Issue & share bar shows the next task. Check the parts, millimetre dimensions, requested versus nested quantities and warnings. Select I reviewed the imported parts… when you have checked them.

### 3. Enter the customer and rates

Enter the customer name, reference if needed, quote validity and currency. Load saved profiles or enter your material, machine, gas and electricity costs. Report-filled values are suggestions to confirm; do not treat missing consumption values as zero.

### 4. Calculate and save

Select Calculate quote. Resolve the Still needed list, review the breakdown and confirm the final review checkbox. Select Save revision. The saved quotation number and revision should appear. Working drafts autosave, but a draft is not a saved or issued quotation.

### 5. Preview and issue

Select Preview customer quotation. Check the price, quantities and terms. Close the preview and choose Mark issued when ready. Issuing does not send email.

### 6. Share and check the response

Select Create / replace approval link, copy the private link and share it yourself. Alternatively download the one-page PDF. Under Customer approval, select Refresh responses to check for acceptance, a decline or a change request.

### Check your result

You should have a saved revision and, if issued, a customer approval link. Internal cost rates and margin are excluded from the customer-facing view.

### Join the right company

Open the private invitation link supplied by your administrator. Use the invited email address. Follow the acceptance page to create your password or authenticate an existing identity. Never share your password or invitation link publicly.

### Roles and modules

Module access is set per company. Owners and admins manage company settings; Quoting is available to owners, admins and managers. Operator and viewer access does not include the quoting editor. A missing module may indicate that it is not included in your company’s trial or plan.

### Request a change

Ask your company administrator or Ovrendi contact to correct your name, role or company access. Ovrendi’s internal CRM is restricted to approved Ovrendi staff. Removing access from one company does not delete the person’s global login.

### Password resets

An approved administrator can send a password-reset email to the email stored on your login. Follow the secure email link to choose your own password. If you did not request a reset, ignore it. Check junk mail and ask the administrator to inspect the delivery result if needed.

### Appearance and navigation

Use the sidebar to open enabled modules, Settings, Getting started and Education. Light and Dark switch appearance. On a phone, use the menu button; on desktop, collapse the sidebar to make more room.

## Machine, gas and electricity profiles

### Who can save standards

Owners and admins can save shared profiles. Managers can prepare quotes using available settings. Profiles are your shop’s assumptions, not manufacturer-certified standards.

### Machine settings

Use the operating cost per hour and separate setup or labor time where applicable. Processing time comes from the imported report. Electrical input is different from the laser’s optical output rating.

### Bottle or bottle-pack gas

Enter the pack price, bottles per pack, supplier-stated standard cubic metres per bottle and usable percentage. Use gas volume, not cylinder water capacity. Enter cutting and piercing flow in standard litres per minute using the same standard-volume convention.

### Other gas choices

You may use a price per standard cubic metre or a manual job charge. Additional gas-on seconds use cutting flow. Travel does not automatically add gas. If included elsewhere or excluded, enter a clear reason.

### Electricity

Enter average electrical input in kW and price per kWh. The estimate uses processing plus setup time. Include auxiliary equipment once. Alternatively enter a manual charge, or state where electricity is already included.

### Save and reuse

Under Save reusable standards choose the profile type, optional customer and machine associations, and a meaningful name. Select Save new profile. To reuse it, choose Saved profile → Load profile. Review the applied fields. Saved quote revisions retain their original snapshots.

## Understand your quote calculation

### Material

Full-sheet cost uses the stock quantity and price per sheet. Weight-based pricing uses dimensions, thickness, density and price per kg. An entered remnant credit is deducted. Customer-supplied material is a separate option.

### Processing and utilities

Machine cost uses imported processing time and your hourly rate. Setup and additional labor use entered time and rates. Gas uses the applicable flow and time, and electricity uses electrical input × hours × price per kWh. Missing rates stay incomplete rather than silently becoming zero.

### Margin versus markup

Markup adds a percentage to the cost basis. Margin describes profit as a percentage of selling price. For example, a cost of 100 with 20% markup gives 120; a 20% margin gives 125. A minimum charge can raise the result. Taxes are excluded.

### Comparison mode

Han’s charge comparison uses the report’s configured charges instead of the normal material, machine and labor calculations. Check whether utility charges are already included before adding them. Currency is selected by you; the app does not convert exchange rates.

### What the customer sees

The customer PDF presents the quotation without your internal hourly rates and margin. Review the document, terms, quantities, currency and totals before sharing. Estimates depend on the source report and settings you enter.

## Review a Han’s report before pricing

### Before you begin

Who this is for: Quoting users preparing a new estimate.

The original single-run Han’s LaserNest quotation workbook, up to 2 MB.

### 1. Choose a supported workbook

Open Quoting and select the file under Import the cutting report. The supplied format supports XLSX content sometimes saved with an .xls extension. Renaming an unrelated workbook will not make it compatible. One report is used per quotation.

### 2. Check the stock and units

Compare material, thickness and full-sheet dimensions with the original report. Dimensions shown in the import are millimetres. Confirm that the stock size is the full sheet, not only the area occupied by the nest.

### 3. Compare requested and nested parts

Read the part table. Requested quantity and nested quantity can differ. The estimate and customer batch price use the nested quantities. Resolve an incorrect nest in the source software and export a corrected report.

### 4. Read warnings and suggested values

Check processing time and every warning. A blank reference or sheet price may be filled from the report. Confirm the currency and whether the report material charge is a suitable basis for your actual sheet cost.

### 5. Confirm the source review

Tick I reviewed the imported parts, quantities, millimetre units and report warnings. Continue to pricing. This check is separate from the final costing review required before saving.

### Check your result

The imported part counts and stock match your intended job. If they do not, stop and correct the source rather than pricing an inaccurate quantity.

## Saved revisions, status and PDFs

### Find a saved quote

Scroll to Saved quotations and select Refresh if necessary. The list shows the most recent 100 revisions. Open a quotation to inspect its saved source and settings.

### Revise without losing history

Editing a saved quote and saving again creates a new revision. Earlier prices and profile snapshots remain unchanged. Recalculate after changing settings and confirm your review before saving.

### Draft, issued and accepted

A new saved quotation is a draft. Mark issued records that revision as issued, but sends no email. Record acceptance records your confirmation of the customer’s acceptance. These actions do not create a production job.

### PDF checklist

Save the company and user identity before saving the quote revision. Download the one-page PDF. Check customer details, currency, quantities, validity and terms. Downloading a PDF does not deliver it to the customer.

### Customer decisions and new revisions

Issued quotes can be accepted, declined or receive a change request through a private approval link. Refresh responses in Customer approval to review the result. A new revision disables older approval links. See the Share a quote for customer approval tutorial.

## Resume, revise or repeat a quotation

### Before you begin

Who this is for: Quoting users returning to unfinished or repeat work.

An unfinished working draft or an existing saved quotation.

### 1. Resume unfinished work

Wait for Working draft saved before leaving. On return, choose Restore working draft or Discard draft. Working drafts belong to your user and company; they do not issue a quote. Restored drafts must be recalculated and reviewed.

### 2. Open the saved revision

Under Saved quotations, select Refresh and open the quote number. This displays the saved snapshot of the source and rates. The list contains the most recent 100 revisions.

### 3. Revise the same customer offer

Open the latest unaccepted revision, change the necessary details, calculate, review and save. The new revision retains the quote family and increases its revision number. Earlier snapshots stay unchanged. A newer revision makes older customer approval links unavailable.

### 4. Create a separate repeat order

For a new order, choose Duplicate as new quote. Review the customer, quantities, rates, reference and validity before saving. Saving creates a new quote number, rather than modifying the original order.

### 5. Resolve a competing tab

If a draft changed in another tab, reload and restore the latest draft before continuing. Avoid editing the same working quote in several tabs. Accepted quotations cannot be revised; duplicate as a new quote when you need a separate offer.

### Check your result

Confirm whether the result has a new revision number or a new quote number, according to your intent. Reissue a revised offer and generate a new link before sharing.

## Share a quote for customer approval

### Before you begin

Who this is for: Owners, admins and managers with Quoting access.

A saved, issued, unexpired quotation revision that you have previewed.

### 1. Preview the customer view

Open the saved quotation and select Preview customer quotation. Check the company identity, customer, parts, quantities, final price, currency and terms. Internal cost rates and margin do not appear in this view.

### 2. Issue and create the link

Select Mark issued for a draft. Under Customer approval, choose Create / replace approval link and confirm. The quote must be the latest issued, unexpired revision.

### 3. Copy and share privately

Select Copy link and send it to your customer using your usual email. Creating the link does not send email. Anyone holding it can view the quote and submit its first response, so do not post it publicly. Copy it before leaving; the full link cannot be retrieved later.

### 4. Review the response

Open the quote and select Refresh responses. The history shows the decision, supplied name and email, response time, optional PO number and message. Acceptance marks the quote accepted; a decline marks it declined. A change request leaves it issued but closes the response form for that link.

### 5. Handle changes or revoke access

For pricing or quantity changes, save and issue a new revision. Its previous approval links become unavailable. To withdraw access, choose Revoke links. Creating a replacement link also disables earlier links for that revision. A link expires at the earlier of quote expiry or 30 days after link creation.

### Check your result

The response is visible in Customer approval after refreshing. This records a customer decision; it does not collect payment. The submitted email is self-declared, not verified identity.

## Respond to a quotation

### Before you begin

Who this is for: Customers receiving a private Ovrendi quotation link.

The complete private link sent by the quoting company.

### 1. Open the private link

Use the full link provided by the sender. You do not need an Ovrendi account. Keep the link private: anyone holding it can view the quotation and submit its first response.

### 2. Read the quotation

Check the customer name, revision, parts and quantities, batch total, currency, validity and terms. Taxes are excluded from the displayed batch total. Use Print / save PDF if you want a copy.

### 3. Choose your response

Choose Accept quotation, Request changes or Decline quotation. Enter your name and email. A purchase-order number is optional. Explain the required changes in the message when requesting changes.

### 4. Confirm and submit

Confirm that you are authorized to respond and have reviewed the quotation and terms. Select Submit response and confirm. Wait for the recorded-response message. This action does not charge a payment method.

### 5. Contact the sender if needed

A recorded response cannot be edited through the same link. Contact the sender if you made a mistake. If the link is unavailable, it may have expired, been revoked or been replaced by a newer quotation; ask the sender for the current link.

### Check your result

The page displays Acceptance recorded, Decline recorded or Change request recorded. The sender can review it in their Ovrendi workspace.

## Check your customer PDF

### Before you begin

Who this is for: Quoting users preparing customer documents.

A saved revision with the correct company and preparer profiles.

### 1. Check the identity snapshot

Confirm the company name, address and contact details in Company & user profiles, plus your name. Existing saved revisions retain their original profile snapshot; save a new revision to capture changed profile details.

### 2. Preview the saved quotation

Select Preview customer quotation. Check the customer, reference, revision, material, thickness and nested quantities. Confirm the final batch price and currency against your reviewed estimate.

### 3. Check the commercial terms

Review quote validity, lead time, payment terms and exclusions. Taxes are excluded from the current quotation total. Avoid promising terms that your company has not agreed to.

### 4. Download or print

Select Download one-page PDF for the generated document. Customer print / PDF opens your browser’s print route. Review the downloaded file before sharing it; generating a PDF does not issue the quote or send email.

### 5. Use an approval link for a recorded decision

A PDF by itself does not provide an online response form. Issue the quote and create a private approval link when you want the customer to accept, decline or request changes in Ovrendi.

### Check your result

Open the downloaded file and verify it contains the intended saved revision, correct quantities and customer price, without internal rates or margin.

## Trials, subscriptions and module access

### Before you begin

Who this is for: Company owners and users checking available modules.

Your signed-in company account. Billing actions depend on your permissions and payment configuration.

### 1. Check your company access

Review the modules available in your application sidebar and billing page. A Quoting-only trial does not include Production Board, Job Costing or Shop Traveler. Reading an education guide does not enable its module.

### 2. Understand the trial period

Use the trial end date shown for your account. Most self-service trials and individually arranged pilots can have different durations. Do not assume another customer’s trial length applies to your company.

### 3. Review an upgrade

A locked module leads to the upgrade page. Review the included modules, currency, recurring price and trial details before continuing. Ovrendi subscription prices are in USD; quotation currency is a separate setting.

### 4. Review billing consent

A trial alone does not supply payment authorization. Automatic billing requires an agreed subscription and payment details through checkout. Check the actual checkout terms and billing date. If checkout is unavailable, contact the team rather than submitting card details in a support message.

### 5. Ask for billing help

Use the contact form or in-app support for account-specific questions, cancellation help or unexpected access. Include your company and issue, but never your card number or password.

### Check your result

You know the modules, trial end date and billing terms that apply to your company. Do not use test checkout as proof that a live subscription is active.

## Report a problem and follow its progress

### Before you begin

Who this is for: Signed-in users reporting an issue.

A short description of the problem and steps to reproduce it.

### 1. Open Report a bug

Open the application’s Report a bug page. Reports go to Ovrendi’s internal CRM linked to your user and company.

### 2. Describe one issue clearly

Enter a short title and explain the steps, what you expected and what actually happened. Add the affected page if useful. Include the visible error wording and quote reference, but do not include private approval links or passwords.

### 3. Submit and confirm

Select Submit report and wait for confirmation. Look under Your recent reports to find the saved report. If submission fails, keep a copy of your description and retry.

### 4. Add a useful screenshot

Open the report conversation to attach a supported screenshot and provide follow-up details. Crop or obscure confidential customer data, payment information and credentials first.

### 5. Follow the conversation

Return to the report to read replies and answer follow-up questions. Support is provided by email and in-app messages; phone support is not offered. For a sign-in problem, use the public contact form instead.

### Check your result

Your report appears in your recent reports and its conversation contains your message. The public contact form is also available at /contact/.

## Troubleshoot your first quote

### The workbook will not import

Confirm that this is a supported single-run Han’s export, no larger than 2 MB. The supplied workbook format may use an .xls extension with XLSX content. Multiple reports, unsupported layouts and formula-dependent files may be rejected. Do not rename a different format to bypass validation.

### The estimate is incomplete

Read Still needed and use the question mark next to a field. Enter actual gas consumption and electrical input values, or choose a manual charge. When a cost is included elsewhere or excluded, provide a reason.

### Save revision is not working

Import a report, enter the required customer details, complete the calculation, confirm the imported report in step 2 and select the final review checkbox. Check the status message. Do not close the page until the revision appears in Saved quotations.

### The PDF has old details

Saved revisions keep a snapshot. Update the profile, open the quotation and save a new revision to capture current details. Review the new PDF before sharing.

### Access or trial message

Confirm you are in the correct company and have an allowed role and module. An expired trial can block operational actions. Ask your administrator to review access or billing; repeatedly signing in will not extend a trial.
